Position Summary:
The Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office. In addition to typing, filing and scheduling, the Administrative Specialist performs duties such as record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Administrative Specialists will communicate via phone and email ensuring that all administration tasks are completed accurately and delivered with high quality, and in a timely manner.

• Order all office supplies
• Book hotel rooms for out of town techs, guests, and new employees
• POC for all building issues (HVAC, Plumbing, Landscaping, Roof leaks, etc)
• Answer phones and greet guests
• All outbound UPS shipments
• Retrieve daily mail, sort and distribute
• Stuff and mail AP checks weekly
• Mail payroll checks bi-weekly
• Send out Birthday/anniversary announcements
• Match AP checks with invoices weekly
• File AP paid invoices weekly
• Vehicle registrations, payments, tracking, appeals
• Setting up Training schedule for new employees

• Experience with ConnectWise software a plus.
• High school diploma, college preferred.
• Proficient in MS Office Suite
• Ability to work with a variety of staff members and work on multiple projects, simultaneously.
• Strong verbal and written communication skills.
• Strong organizational skills.
• Ability to achieve deadlines under pressure.
