The Executive Assistant will provide assigned Company Leaders with comprehensive administrative support that encompasses schedule management, travel arrangements, event coordination and a high level of professional presence and demeanor. The Executive Assistant will handle highly confidential matters utilizing good judgement at all times to maintain confidentiality and discretion. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the assigned leaders. The Executive Assistant will act as an agent-in-fact in all daily activities. Primary Duties and Responsibilities Conserves the supported leaders time by reading, researching, creating, approving, and routing correspondence; drafting letters, presentations, reports, invoices, purchasing orders, expense reports and documents, collecting and analyzing information; initiating telecommunications. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Board Member, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Handle and approve credit card reconciliations for Board Member or assigned to Board Member ensuring all company deadlines are met. Approve, maintain availability and requests of paid time off ("PTO") for all direct reports. Note on Board Members calendar, as appropriate. Microsoft Outlook management including: Heavy calendar management making sure that all meetings, appointments, events, conferences, etc. are up to date at all times. Must exercise flexibility since schedules frequently change at the last minute and re-scheduling must be made and noted on the calendar as they occur. Manage all contacts; proactively understand who they are and keeping track of periodic communication needed for these contacts. Make all necessary arrangements as event coordinator for special events hosted by the Company throughout the year. Some of these activities include: Create invitee list, send out invitations and manage a current attendance recording. Negotiate and secure venue, visiting various venue options and making final selection while considering functionality for the needs of the Company. Initiate, coordinate and/or participate in all efforts to publicize and bring awareness of the event. Book talent for event including disc jockeys, entertainment and bands. Coordinate and monitor event timelines and ensure deadlines are met. Ensure necessary equipment is on site and working appropriately prior to use. Make all travel arrangements for Board Member and for anyone assigned by the Board Member acting as a corporate travel coordinator. Some of these activities include: Complete all functions related to planning, scheduling, and booking assigned travel requests Arrange all travel including air, hotel, and ground transportation. Create and maintain all travel itineraries. Administer all changes and cancellations in a timely, cost effective fashion using independent judgment. Plans, coordinates and ensures the Board Member's schedule is followed and respected. Performs a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Board Member's time and office. Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact. Be available and accessible even on non-business days/hours. Other duties as assigned and modified at manager's discretion. KNOWLEDGE, SKILLS AND ABILITIES: Strong organizational skills that reflect the ability to perform and prioritize multiples tasks seamlessly with excellent attention to detail. Professional, friendly, positive and helpful attitude. Ability to work under pressure in a fast changing environment. Excellent verbal and superior writing skills are essential. Report presentation skills a huge plus. Highly resourceful team-player, with the ability to also be extremely effective independently. Adaptable to frequent change. Demonstrated proactive approaches to problem-solving with strong decision-making capability EDUCATION / SPECIALIZED KNOWLEDGE : Bachelor's Degree preferred. MUST be able to support 6-7 company leaders administratively (travel appointments, maintain schedules, etc) Two (2) plus years working with a high level (C-level) executive in a busy, innovative, growing environment.
